How to Guide - Basic Reporting
Reports Covered in this Guide
The following reports are covered:
Review
o Surveys Sent lists surveys sent by sender within a given time frame
o Response Details includes all the responses received based on the selected filters
o Comments Report includes all the non-NPS comments received based on selected filters
o Net Promoter Score provides your firm s NPS score for the selected time frame, as well as can list promoters, detractors and passives
o Advanced Reporting Tools

Filters Available for Reports
Basic Filters
o Date Range can be set with relative dates or by using a Fixed Date Range. Default Date Range = Last 30 Days
Project Filters
o Project or Group user can select specific Project Group(s) or specific individual projects
o Project Type user can specify project type when their firm uses project types
People Filters
o Recipient user can identify specific recipient(s)
o Company Respondent Company the company / client that is attached to a respondent in Contacts
o Sender if filtering for yourself as a user, select Me.
Client Filters
o Company Type typically a Client Type; Company Type must be selected for each Company / Client for this filter to be of benefit
Using the Covered Reports
Surveys Sent
Review > Surveys Sent
Default Report lists all surveys sent within Last 30 Days according to the user s security rights
o Anyone with rights above Sender may have to filter to return the correct information
Options
o You can group by Sender (default), by Project or Project Group
Can be printed and saved as a PDF at File > Print as PDF
Response Details
Review > Response Details
Default Report lists all responses received within Last 30 Days according to the user s security rights
o Anyone with rights above Sender may have to filter to return the correct information
When printed, individual responses print one to a page
Options
o Can remove identifying information when needed, if sharing with a broad audience, by unchecking the appropriate boxes
Can be printed and saved as a PDF at File > Print as PDF
Comments Report
Review > Comments Report
Default Report lists all non-NPS comments for the Last 30 Days sorted by score according to the
user s security rights
o Anyone with rights above Sender may have to filter to return the correct information
Options
o Can sort by the following:
Score
Sender
Respondent
Date
Question Category
Sorting by Question Category allows the user to readily compare / contrast comments in the same Question Category
Can be printed and saved as a PDF at File > Print as PDF
Net Promoter Score
Review > Net Promoter Score
Default Report displays the firm s Net Promoter Score, showing the number of Promoters, Detractors and Passives, and their respective percentages of all the NPS respondents for the Last 30 Days
o It is recommended that the Date Range be broadened to Last 1 Year to provide a better reference range and more data points to determine NPS
Clicking Show Details lists the NPS Responses as determined in Options (default is to list all the responses)
Options
o Market Sector choose to compare your score to All sectors found in the Client Feedback Tool database, or select a specific sector from one of the following:
Architecture
Construction
Consulting
Engineering
Financial
Legal
Technology
Other
o NPS Responses Select which responses you want displayed in the details
All NPS Responses
Promoters Only
Detractors Only
Passives Only
Can be printed and saved as a PDF at File > Print as PDF
Advanced Reporting Tools

Default Report divides the Pie into sections according to scores for the Last 30 Days
o Each response is an answer to a single question
o Options
You can remove the labels by unchecking Word Labels in Report Options
Can be printed and saved as a PDF at File > Print as PDF
Bar Graph
Review > Advanced reporting tools
View > Bar Graph
Default Report displays feedback alphabetically by Question Category for the Last 30 Days
o For ease of viewing, it is helpful to Sort by Average Score and uncheck Alert Levels in Options
o The dark blue / black vertical band represents the average score
o The middle blue band represents the deviation in that category how consistently your PMs operate in that category. The wider the band, the less consistency across your firm. The goal is 1.0 points or less in width.
o The light blue band, when present, represents the full range of the scores.

o Can sort by the following:
Average Score
Question Category
Question Category (system) default categories of Helpfulness, Responsiveness,
Quality, Accuracy, Schedule, Budget, and Scope and Fees are displayed first
o Alert levels can be turned on and off in Report Options
Can be printed and saved as a PDF at File > Print as PDF
Statistics Report
Review > Advanced reporting tools
View > Statistics
Default Report displays the following for the Last 30 Days:
o Category (alphabetically)
o Average Score
o Percent Below Acceptable (<3.0)
o # Surveys Sent
o # Recipients
o # Respondents
o Response Rate (in whole numbers)
o Bar indicating the Average Score in the Category (for slider questions)
We recommend that you click Average Score twice to sort the categories by Average Score
o Report then becomes a number version of the Bar Graph, plus some extra information
